Appointment Reminder Texts: Timing, Wording, Examples

When to send appointment reminder texts, what each one should say, and templates for salons, clinics, restaurants and home services you can copy today.

The best appointment reminder texts go out twice: once a day or two ahead with an easy way to confirm or reschedule, and once a few hours before the visit. Each one names your business, the service, the date and time, and gives one clear action. Keep them short enough to read on a lock screen.

When to send them

Timing depends on how far ahead people book and how much notice you need to refill a slot.

  • Salons, barbers and spas. 48 hours ahead with confirm or reschedule, then a short note the morning of. The 48-hour text gives you time to fill a cancellation from the waitlist.
  • Clinics and dental offices. Two to three days ahead, especially if forms are due before the visit. Then a same-day reminder with arrival instructions.
  • Restaurants. A same-day text for reservations, a few hours before seating. Large parties may warrant a day-before confirmation as well.
  • Home services. A day-before text with the arrival window, then an "on the way" text with an ETA when the tech leaves the last job.

A third reminder rarely helps. If two texts did not get a reply, a phone call is the better follow-up.

What to put in every reminder

  1. Who you are. The business name, first. People get a lot of texts.
  2. What and when. Service, date, time. Add the staff member's name if clients book by person.
  3. One action. Reply C to confirm, R to reschedule. One instruction beats a paragraph.
  4. What to bring or do. Forms, parking, "arrive 10 minutes early." Only if it matters.
  5. How to opt out. In the US, include a line like "Reply STOP to opt out."

A standard text message holds 160 plain characters before it splits into two. Emoji and some special characters shrink that limit, so test your template before you schedule it.

Home services, day before

[Company]: Your tech visit is tomorrow between [8:00 and 10:00]. We'll text when they're on the way. Reply R to reschedule.

Same-day nudge

[Business]: See you today at [2:15], [Name]. Reply R if you need to move it.

Two-way texts do the real work

A reminder that cannot take a reply asks the client to call you, and if they call while you are busy, the cancellation reaches you too late or never. Two-way reminders let the client reply "R" and pick a new time, and the freed slot goes straight back on the calendar.

This is why reminders and your phone line belong together. When someone does call to cancel, an AI receptionist can answer, reschedule and log it at any hour, so the opening is visible right away. Salons on Sonorch get two-way text reminders and a waitlist that refills cancellations from the same calendar.

Example: what a reminder can be worth

The value of reminders comes from early notice. Here is the arithmetic, as an example:

  • 160 appointments a month
  • Reminders surface 6 cancellations with at least a day's notice
  • You refill 4 of those from a waitlist
  • Average ticket of $70

That is 4 × $70 = $280 a month that would otherwise have been an empty chair or an idle tech. Your numbers will differ. Track confirms, reschedules and refills for a month to find out.

This is general guidance for US businesses, not legal advice. Confirm the details with your texting provider.

  • Get the client's permission to text when they book, and keep a record of it.
  • Send reminders about the appointment only. Promotions usually need separate consent.
  • Honor STOP replies right away.
  • Avoid sending late at night or very early in the morning.
  • Business texting from local numbers in the US generally requires registration with the carriers, often called A2P 10DLC. Most providers handle this for you.
  • Clinics should keep clinical details out of texts. "Your visit on Tuesday" is enough.

Common mistakes

  • Sending from a number nobody monitors, so replies vanish
  • No business name, so the text looks like spam
  • Reminders that go out after the cancellation window has already closed
  • Different wording at every location
  • Texting a link to a login page for a simple confirm

What to do this week

  • Write one reminder template per appointment type and count the characters.
  • Set send times based on how much notice you need to refill a slot.
  • Make sure replies land somewhere a person or system acts on them.
  • Pair reminders with a written no-show policy you can enforce.
  • Check how many cancellation calls you miss today using our guide to missed calls.

Reminders work best when they read from the same calendar your phone and checkout use. That is how the Lumoras POS is built.
