Delete customer data and call history

Archive or permanently delete a customer record, clear what the AI receptionist remembers about a caller, and request deletion of your business data.

You can archive or permanently delete a single customer record yourself, and remove what the AI receptionist remembers about a caller. Deleting all of your business data is a request you make to Lumoras. Card numbers are never stored by Lumoras, so there are no card numbers to delete.

What this does

Customers sometimes ask you to remove their details. Archiving hides a customer from your lists and can be undone. Deleting removes the record permanently. Clearing the receptionist's notes stops it using those details on future calls.

Delete a customer record

  1. Open the customer's record from your customer list.
  2. Choose to edit the customer, then find the archive or delete option.
  3. Choose Archive to hide them, or Delete to remove them permanently.
  4. Confirm. For a permanent delete, you may be asked to type the customer's name.

If the delete is refused, the customer probably has upcoming bookings, an unpaid fee or a balance such as loyalty points. Clear or cancel those first, or archive the record instead.

Clear what the receptionist remembers

  1. Open the customer record or one of their calls.
  2. Review the notes the receptionist has saved about them.
  3. Delete each note you want removed.

Transcripts of past calls are kept for your retention period. If a customer asks for their calls to be removed too, include that in your request to Lumoras.

Delete your business data

Closing your account ends billing and signs everyone out. It does not erase your records straight away, which gives you time to export what you need.

  1. Export any reports or customer lists you want to keep.
  2. Close your account from Settings.
  3. Ask for deletion of your business data through your account or your onboarding contact.
  4. Keep the confirmation you receive when the deletion is complete.

Check that it worked

  • Search for the customer. A deleted record should not appear, and an archived one should appear only in archived results.
  • Open a recent call from that customer and confirm their saved notes are gone.
  • For a business deletion, keep the confirmation for your records.

Troubleshooting

  • The delete option is missing. Your role may not allow it. Ask an owner or manager.
  • The customer still appears in old reports. Past sales can stay in your financial records for accounting. Check the customer list itself, which is where their personal details lived.
